Administrative Assistant
SUMMARY

Provide administrative support to Lucy Rechel in feedlot and bull test and sale. Duties include general clerical, receptionist and project based work. Employee must project a professional company image through in-person and phone interaction.

PRIMARY RESPONSIBILITIES

1. Answer telephones and transfer to appropriate staff member.

2. Meet and greet clients and visitors.

3. Maintain feedlot records with a Hi-Plains Pro Feeder 6 feedlot program.

4. Monthly invoicing of feedlot customers

5. Maintain feedlot customer invoice support files

6. Schedule data collection activities (weights, ultrasound scanning, and feed efficiency weights.)

7. Schedule professional services for customers as needed (groomers, hoof trimmers, etc.)

8. Create breeding schedule and maintain breeding records.

9. Maintain calendar for all feedlot activities.

10. Enter data collected and send reports to customers.

11. Monitor feed efficiency test equipment.

12. Inventory and ordering of office supplies.

13. Inventory and ordering of commodities.

14. Create and modify documents using Microsoft Office and Adobe programs

15. Maintain bull sale data base in Filemaker program.

16. Clerking, invoicing, and payables in connection with bull sale.

17. Create bull sale catalog and various sale day publications

18. Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.

19. Maintain hard copy and electronic filing system.

20. Sign for and distribute UPS/Fed Ex/Airborne packages.

21. Setup and coordinate meetings and conferences.

22. Support staff in assigned project based work.

23. Supervise data entry, filing, and other tasks assigned to part time assistants.

24. Other duties as assigned.

ADDITIONAL RESPONSIBILITIES

1. Assist with arrangements for company social functions including bull sale and intercompany functions.

KNOWLEDGE AND SKILL REQUIREMENTS

1. Basic reading, writing, and arithmetic skills required.

2. Basic understanding of the beef cattle industry and feedlot and performance jargon.

3. Knowledge of Microsoft Office with high skill levels in Excel. Ability to learn specialty feedlot program and Filemaker data base program. Ability to utilize Adobe programs and electronic communication skills. Must have excellent communication skills and telephone personality. Duties require professional verbal and written communication skills and the ability to type 50 wpm. This is normally acquired through one to three years of clerical experience.

4. Spanish language skills highly desirable

WORKING CONDITIONS

Working conditions are normal ranch office environment.
